Your information, handled carefully.

Notarization requires me to verify who you are and keep records. Here is exactly what I collect, why, how long I keep it, and who can see it.

Effective October 2026 · Hereby Notary, 121 S Broad St, 15th Floor, PMB 1002, Philadelphia, PA 19107

What I collect

  • Booking details: your name, email, mobile number, the type of document, the appointment time and, for mobile visits, the address.
  • Documents you upload: stored encrypted, linked to your booking, used only to prepare and perform the notarization.
  • Identity verification data (online sessions): the notarization platform collects an image of your government ID, performs a knowledge-based quiz and biometric comparison, and records the audio-video session. Pennsylvania law requires these steps and requires the recording to be retained for at least ten years (57 Pa.C.S. § 306.1).
  • Journal entries: Pennsylvania requires a journal of every notarial act with the date, type of act, document description, signer name and address, how identity was verified and the fee charged (57 Pa.C.S. § 319). Journal entries are retained for the required period after my commission ends.
  • Messages: texts and emails exchanged about your appointment are kept with your booking record so I can follow up accurately.
  • Technical data: standard server logs (IP address, browser) used for security and to prevent abuse of the booking form.

How it's used

To schedule, confirm, remind and perform your notarization; to send receipts; to meet Pennsylvania record-keeping requirements; and to respond when you contact me. I don't sell or rent your information, and I don't use it for advertising.

Who sees it

  • The notarization platform (a Pennsylvania Department of State-approved remote online notarization provider) processes identity verification and session recordings under its own privacy terms.
  • Service providers that host this site, store uploads, send email and text messages, and process card payments. Each receives only what it needs for its function.
  • Authorities when a notarial record is lawfully requested, for example by a court or the Department of State.
  • You: your booking page and receipts are available through the private link in your confirmation.

Retention

Session recordings and journal entries: at least ten years, as required by law. Uploaded documents not attached to a completed notarization: deleted automatically after 36 hours. Booking records and messages: kept for the journal retention period, then deleted. Cancelled requests: 90 days.

Security

Documents and records are encrypted in transit and at rest. Access to the administrative system is restricted to me and protected by authentication. Session recordings live on the notarization platform's secured infrastructure, not on this website.

Your choices

You can decline to upload documents and bring them to the session instead. You can ask what I hold about your booking and request correction of contact details. I can't delete journal entries or session recordings before the legal retention period ends, because the law requires me to keep them. Text or email with any request.
